Booking & Payments

When is payment due?

Payment is either due in full at the time of purchase or according to the payment plan offered for your specific Event or trip.

If you choose a payment plan, you are responsible for making each scheduled payment by its due date.

What happens if I miss a payment?

Missing a required payment may result in your booking being cancelled or your participation in the Event being removed. Depending on the applicable supplier terms, amounts already paid may also be non-refundable.

Are deposits refundable?

Some deposits, bookings, flights, accommodations, tickets, activities and other Event components may be non-refundable or non-transferable.

The refund and cancellation rules that apply to your booking will depend on the specific Event and the terms of the suppliers involved.

Can I cancel or transfer my booking?

Cancellation, transfer and change options vary by Event and supplier. Airlines, hotels, ticketing providers, Expedia Cruises and other partners may have their own deadlines, restrictions and fees.

Administrative, processing, cancellation or change fees may apply.

How long do refunds take?

Where a refund or credit is permitted, processing times depend on the supplier, travel partner, payment platform and TNN. Because several parties may be involved, TNN cannot guarantee a specific processing timeline.

Hotels & Accommodation

Is the hotel included in my trip?

Your specific package inclusions, including accommodation details, will be provided when you purchase your package or communicated before departure.

Do I need to pay a hotel security deposit?

Yes. Any hotel security deposit or incidental authorization required at check-in is the responsibility of the traveler.

You are also responsible for additional hotel charges or damages associated with your stay.

Does TNN assign roommates?

Some trips may offer voluntary room-pairing arrangements. Participation is optional.

If you choose to share accommodations with another participant, TNN is not responsible for personal disagreements, theft, property damage or other incidents that may occur between roommates.

Travel Information

When do I need to provide my traveler information?

Unless another deadline is communicated for your specific trip, all requested traveler information must be provided at least 45 days before departure.

Failing to provide required information by the deadline may prevent TNN or its suppliers from completing your booking and could result in removal from the trip without a refund.

What information might I need to provide?

Depending on the trip, TNN or its travel partners may require information such as:

  • Full legal name

  • Contact information

  • Passport or identification information

  • Travel details

  • Accessibility information

  • Other details required by airlines, hotels, transportation providers or other suppliers

You are responsible for making sure all information provided is accurate and complete.

What happens if I enter my information incorrectly?

Any additional fees, penalties or costs caused by incorrect, incomplete or false information are the responsibility of the customer.

Please notify TNN as soon as possible if information you previously provided changes.

Am I responsible for my own passport and travel documents?

Yes. Travelers are responsible for making sure they have all documents required for their trip, including valid passports, identification, visas, travel authorizations, vaccination documentation or other entry requirements where applicable.

TNN is not responsible if you are denied boarding, entry, participation or re-entry because your documentation is missing, incorrect, invalid or expired.

How does TNN use my passport or identification information?

Travel information is collected to facilitate your booking and administer the Event. Passport and identification information is provided only to suppliers that require it to complete travel arrangements or as otherwise required for the Event or by law.

Travel Partners & Insurance

Who actually provides the flights, hotels and other services?

Some Event components are provided by third-party suppliers such as Expedia Cruises, airlines, hotels, transportation providers, ticketing companies, restaurants, venues and activity providers.

Those suppliers may have their own policies, cancellation rules, refund terms, restrictions and liability requirements.

What happens if an airline, hotel or other supplier changes or cancels something?

Schedule changes, cancellations, delays, overbooking, denied boarding, baggage issues and other supplier-related matters are generally governed by the applicable supplier's terms.

TNN is not responsible for issues caused by third-party suppliers except where responsibility arises directly from TNN's own actions and applicable law requires otherwise.

Is travel insurance included?

No. TNN does not provide personal travel insurance.

Travelers are responsible for deciding whether they require travel medical, cancellation, interruption, baggage or other insurance.

Insurance options may sometimes be available through Expedia Cruises or another travel partner, but it is the traveler's responsibility to review the policy and determine whether the coverage is appropriate.

During the Event

What behaviour is expected from participants?

Participants are expected to behave respectfully, responsibly and safely.

TNN maintains a zero-tolerance policy for bullying, harassment, discrimination, excessive intoxication, violence and behaviour that creates a safety risk for participants, staff or partners.

Can someone be removed from an Event?

Yes. TNN may remove a participant whose behaviour is unsafe, disruptive, unlawful or inconsistent with TNN's Terms, supplier rules, venue rules or safety instructions.

Participants removed for conduct reasons will not receive a refund and are responsible for any additional travel, accommodation or transportation costs resulting from their removal.

Is alcohol permitted?

Alcohol may be available at certain Events.

Participants who choose to consume alcohol are responsible for drinking responsibly, following applicable laws and venue rules, and complying with legal age restrictions.

What happens in a medical emergency?

Where necessary during an emergency, participants authorize TNN and its representatives to obtain medical treatment on their behalf.

Any resulting medical costs remain the responsibility of the participant.

Photos & Video

Will photos or videos be taken during the Event?

Yes. TNN may photograph or record participants during Events.

Event photos, video, audio, name, likeness, appearance and participation may be used for Event recaps, social media, websites, advertisements and other promotional or marketing materials.

Participants are not entitled to compensation for this use.

Terms & Acceptance

Are there additional rules for individual trips or Events?

Yes. Specific Events may have additional terms, supplier policies, venue rules, local requirements or booking conditions.

Those requirements apply in addition to TNN's general Terms and Conditions.

When do I agree to the Terms and Liability Waiver?

By purchasing, registering for, attending or participating in an Event, you agree to the applicable Terms and Conditions and Liability Waiver.

When booking online, checking the required acceptance box during checkout or registration constitutes electronic acceptance of those terms.
